Managing users

Updated 25 Sept 2026

The user list is where you work with people: who they are, what they are studying, and what has slipped. Who is allowed to work here at all is decided on permissions instead.

The list is long and most rows are fine. The filters and columns are there so you can quickly find the minority that needs attention.

  • You have sent out invitations and want to know who never arrived. Switch on Pozvaní a nepřihlášení. The list narrows to people whose invitation went out but who never signed in. You know whom to remind without reading the whole list.
  • A shift manager wants to know who is behind on training. Switch on Po termínu, or read the three counts at the end of each row: to study, overdue, completed. Hand over the overview with an export to CSV or XLS.
  • An auditor asks about accounts nobody uses. Switch on Neaktivní více než rok and you have the accounts that have been silent for over a year. You decide about specific names, not an estimate.
  • The Pracoviště column is empty for everyone. It draws its values from code lists. Until sites exist there, there is nothing to pick from, and looking for a fault in the user list is wasted time.

The filters look for absence, not activity. That is why they are worth switching on regularly, not only once something has gone wrong. Who may touch the list at all is decided on permissions.

The user list with four people, filters and per-row actions
  • (1) The header carries the count and the actions that apply to the list as a whole: add a person, export to CSV or XLS, assign content.
  • (2) Four switches narrow the list to the cases worth attention — your own people, inactive for over a year, invited but never signed in, and past due.
  • (3) Each row is a person: name and address, then tags, supervisor, note, site, last activity, and three counts — to study, overdue, completed.

Pracoviště draws its values from code lists, so the column is only useful once sites exist there.

Supervizor can hold a system entry rather than a person; in this space it reads [Knowspread Admin].

The filters describe absence, not activity: Neaktivní více než rok and Pozvaní a nepřihlášení both find people the list would otherwise hide in plain sight.
